This Privacy Policy explains how Voicely AI Reception ("Voicely", "we", "us") collects, uses, shares and protects personal information when you visit our website, try our AI receptionist, book a demo, or use our services. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. Information we collect

When you use our website

  • "Get an AI call" requests: your phone number and your consent to receive one automated demo call.
  • "Talk to the AI" in your browser: your voice, processed in real time to run the conversation. Your browser asks for microphone permission first, and you can decline.
  • Demo bookings: the details you enter in our scheduling tool, such as your name, email address and business information.
  • Technical information: like most websites, our hosting provider and the services that load parts of our site (such as web fonts) may receive your IP address, browser type and the pages you request.

Our website does not use advertising or analytics cookies.

When businesses use our AI receptionist

When we provide our service to a business (our "client"), we process information about the people who call that business, such as names, phone numbers, the reason for calling, appointment details, call recordings, transcripts and summaries. We process this information on our client's behalf and according to their instructions. If you called one of our clients, please contact that business about your information; we will help them respond.

2. How we use information

  • To place the demo call or run the browser conversation you asked for.
  • To schedule and hold demos, respond to enquiries and provide our services.
  • To configure, operate, monitor and improve our clients' AI receptionists, including quality checks of calls.
  • To send service messages, such as booking confirmations, usage alerts and billing notices.
  • To keep our services secure, prevent abuse and meet legal obligations.

We do not sell personal information.

3. Consent

We collect, use and share personal information with your consent, which may be express (for example, ticking the box before requesting a demo call) or implied where reasonable. We only send commercial electronic messages, such as marketing emails or texts, in line with Canada's Anti-Spam Legislation (CASL). You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us using the details below.

4. Call recordings and transcripts

Where supported and enabled, calls handled by our AI receptionist may be recorded and transcribed so our clients can review what was said and so we can improve call handling. Callers are informed at the start of the call where required. Our clients decide whether recording is enabled and are responsible for any additional notices their industry or location requires.

5. Service providers and transfers outside Canada

We use trusted service providers to run our website and services, including providers of voice AI and telephony (such as Retell AI), scheduling (Cal.com), web fonts (Google Fonts), website hosting and, where our clients choose, calendar, CRM and messaging tools. These providers may store or process information outside Canada, including in the United States, where it may be accessible to courts and authorities under local law. We require service providers to protect personal information and to use it only to provide services to us.

6. How long we keep information

We keep personal information only as long as needed for the purposes above or as required by law. Demo-call requests are kept for 90 days. Call recordings, transcripts and caller details processed for clients are kept according to each client's settings and agreement, and are deleted or returned when our service ends, unless the law requires otherwise.

7. How we protect information

We use reasonable administrative, technical and physical safeguards, such as encrypted connections, access controls and keeping secret keys off public websites. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the Office of the Privacy Commissioner of Canada of any breach that creates a real risk of significant harm, as the law requires.

8. Your rights

You can ask to access the personal information we hold about you, ask us to correct it, or withdraw your consent. We will respond within the time the law requires. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or your provincial privacy regulator.

9. Children

Our website and services are intended for businesses and are not directed to children under 13.

10. Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If we make significant changes, we will take reasonable steps to let you know.
